The type of personal information we collect
In order to provide our services and verify your identity, we currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details, National Insurance number and date of birth)
- Personal and Financial information
- ‘Special Category data’ information which would include details of your health, sexuality or religious beliefs.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you to help us to provide you with financial advice and services.
We use the information that you have given us in order to verify your identity, research the marketplace for the best financial solutions and arrange relevant contracts on your behalf.
We may share this information with electronic verification providers, product providers or other financial firms such as lenders, banks, insurers, fund managers and platform providers.
We may pass your personal information to our compliance service provider Tenet as they deliver compliance services to us. Further detail regarding how they will use your data can be found on their website or by contacting them on 01132390011.
We may be required to pass on your personal information to the Financial Conduct Authority (FCA), Financial Ombudsman Service (FOS) or the Financial Services Compensation Scheme (FSCS) to help with an investigation or other authorities as required by law.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us as above. Consent is required if we ask for ‘special category data’ as above. This is most likely to involve your health but can also include race, ethnic origin, politics, religion, trade union membership, genetics, sex life or sexual orientation. Consent is also required if we wish to hold your data for marketing purposes.
(b) We have a contractual obligation. Most of our data is processed under this lawful basis as it is necessary in order to establish financial advice contracts on your behalf.
(c) We have a legal obligation. This covers data we are obliged by law to process which includes Anti-Money Laundering evidence.
(f) We have a legitimate interest. This would apply for example in the pursuance of debt.
How we store your personal information
Your information is securely stored on Intelligent Office.
We keep your records indefinitely and will only delete the file permanently upon request.
Your data protection rights
Under data protection law, you have rights. Your rights will differ depending on our lawful basis for processing your data.

Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
